Best AI Meeting Assistants in 2026: 8 Ranked on Action-Item Recall
Disclosure: Fyxer, Krisp, Granola, and Howie list affiliate programs on Dub.co. As of 17 August 2026 we are not enrolled, so every product link is the official site. Partner URLs, if they appear later, will be marked sponsored.
On 17 August 2026 I wrote a 12-minute standup script around LINEAR-1842. A Stripe webhook 401. Deniz files it today.
Five tasks in that script carry an owner and a calendar date. Two traps do not. That is the test I use for the best AI meeting assistants, not a feature grid. A summary that says "the team will follow up" fails it.
Single-speaker dictation is a different job. That ranking lives on best AI dictation tools. Phone-agent stacks live on open-source voice agent frameworks.
Which of the best AI meeting assistants should you actually buy?
Buy Fireflies for owner-and-date task objects; buy Granola when a bot in the room is the deal-breaker.
Fireflies Pro is $10/seat/month on annual billing as of the 10 July 2026 recap that still matches the live matrix. Granola Business is $14/user/month and never sends a participant named Granola.
| Rank | Tool | Owner+date shape | Capture | Paid floor (annual, 17 Aug 2026) | Best for |
|---|---|---|---|---|---|
| 1 | Fireflies | Task objects + AskFred | Bot (Chrome ext. optional) | $10 Pro | Standup tasks into Jira/Asana |
| 2 | Krisp | Centralized action items | Bot-free | $8 Core | Notes plus clean audio |
| 3 | Granola | Labeled note lines | Device audio, no bot | $14 Business | Rooms that reject bots |
| 4 | Otter | Assigned takeaways | Bot | $8.33 Pro | Live captions, minute budget |
| 5 | Fathom | AI action items | Bot (botless beta on Mac) | $0 Free | Unlimited recordings |
| 6 | tl;dv | Summary + clips | Bot | Unverified on static HTML | Highlight reels |
| 7 | Fyxer | Follow-up email, not a queue | Bot joins | $22.50 Starter | Inbox plus a notetaker |
| 8 | Howie | None (does not transcribe) | Email / SMS secretary | No public list price | Booking the next slot |
A standup assistant that cannot emit an owner and a due date is a transcript with a summary heading.
What happened in our 12-minute standup?
Five tasks must leave with an owner and a calendar date; two lines must not become fake tasks.
I authored the script on 17 August 2026 so the gold set is public. I am not inventing a recall-percent table from products I did not replay that morning.
Fireflies' July 2026 roundup says a real assistant needs four pillars. A Monday standup does not. It needs owner plus date.
- Gokay ships the Neon failover runbook by Wednesday 19 August 2026.
- Deniz files the Stripe webhook 401 as LINEAR-1842 by end of Monday 17 August 2026.
- Selin retests guest checkout on staging before the Thursday 20 August 2026, 10:00 demo.
- Mert sends the SOC 2 evidence pack to Vanta by Friday 21 August 2026.
- Selin files a P2 for the iOS empty-state flash, due Monday 24 August 2026.
- Trap: "Someone should look at the Sentry spike." No owner. No date. Must stay that way.
- Trap: Gokay and Deniz pair on the Redis eviction PR Friday 21 August 2026 at 15:00. Calendar event, not a single-owner task.
Replay those seven lines. Keep the tool that survives items 1-5 without inventing a name on item 6.
Does Granola actually catch owners and dates?
Granola writes named owners and dates as note lines, not as a sortable task queue.
Mon 17 Aug 2026 standup (12 min)
LINEAR-1842
Deniz / Stripe webhook 401 / LINEAR-1842 / EOD 17 Aug
Gokay / Neon failover runbook / Wed 19 Aug
Selin / retest guest checkout / before Thu 20 Aug 10:00
Mert / SOC 2 pack to Vanta / Fri 21 Aug
Selin / P2 iOS empty-state / Mon 24 AugThe Granola homepage on 17 August 2026 already prints that shape ("Rob: Scope business case template by Tuesday") and sells "Notes, actions and memory" with no meeting bot. Read.ai's 2026 list still says the free history wall is 14 days and names the paid tier "Pro $14." Wrong on both counts. The live site says notes older than 30 days need an upgrade, and the paid tier is Business $14, with Enterprise at $35.
Basic is $0 with unlimited new notes. Business adds HubSpot, Notion, Slack, MCP, and API. No shared task database. No call playback. In-person capture on iOS and Android is the pitch the Teams-only bots cannot make.
Why does Fireflies still win among AI meeting assistants?
Fireflies stores action items as Tasks you can query and push, including on the $0 plan.
The 10 July 2026 pricing recap and the live pricing page agree: Free includes unlimited transcription, unlimited AI summaries, and action items. AI Skills (Jira, Asana, CRM) start at Pro. The Free ceiling is 400 minutes of team storage, not a meeting-count cap.
| Plan | Price (17 Aug 2026) | Storage | Recording cap | Task automation |
|---|---|---|---|---|
| Free | $0 | 400 min / team | 2 hours / meeting | Action items, no AI Skills |
| Pro | $10 annual / $18 monthly | 8,000 min / seat | 2 hours | AI Skills, Personal Assistant |
| Business | $19 annual / $29 monthly | Unlimited | 3 hours | Team analytics, Deal Intelligence |
| Enterprise | $39 annual only | Unlimited | 4 hours | SSO, HIPAA, private storage |
AskFred can query "open standup tasks this week." That is the gap between a note line and a task object.
The bot still joins Zoom, Meet, and Teams unless you use the Chrome path. If the customer forbids a notetaker participant, skip Fireflies. Voice-agent SKUs on the same vendor are out of scope. For a wider map see the AI stack for SaaS. If you're turning these AI workflows into a customer-facing SaaS product, using ready-made Shadcn templates can also speed up the dashboard and application UI development process.
Can Krisp replace a notetaker and a noise app?
Krisp Core at $8 per user per month annual sells bot-free notes and noise cancellation on one invoice.
The Krisp pricing page on 17 August 2026 lists Core at $16 monthly / $8 annual. Advanced is $30 / $15, and that is where Salesforce and ConnectWise appear.
- Unlimited AI note-taker, bot-free, with AI Notes and Action Items.
- Unlimited noise cancellation on the same seat.
- In-person notes plus a mobile app.
- 10 GB storage on Core, 60 GB on Advanced.
- Speaker-side accent conversion: 1 hour/day on Core, 4 hours on Advanced.
Owner+date shape is a centralized action-item list, closer to Fireflies than to Granola's notepad. Krisp is not a CRM archive. The single-speaker WER job belongs on best AI dictation tools. If you already pay Krisp to kill keyboard clack, Core is the cheapest add-on for standup tasks without a bot.
Is Fathom still free enough for a standup?
Fathom Free records unlimited calls; structured team CRM work is not on $0.
plan: Free
recordings: unlimited
transcription: unlimited
ai_action_items: yes
advanced_summaries: limited
ask_fathom_across_team: limited
crm_field_sync: no
team_min_seats: 2
team_price_annual: $15fathom.ai/pricing on 17 August 2026 lists Free at $0 with unlimited recordings, AI action items, and a bot or botless toggle (botless still a Mac beta). Team is $15 annual / $19 monthly per user with a 2-user minimum. Premium is $16 annual / $20 monthly on the individual toggle. Some AI rows on Free are marked limited use. That is the honest reading of lists that claim "five AI meetings."
Fine for a founder who wants every call on disk. Thin for an EM who needs LINEAR-1842 in Linear without a paste. No mobile app is the recurring complaint.
Where do Fyxer, Otter, tl;dv, and Howie actually fit?
Use them for inbox, live captions, clips, or scheduling; none of the four is the standup-task default.
Fyxer is an email assistant whose notetaker joins. Starter is $30 monthly / $22.50 annual per user on the 17 August 2026 page snippet, 7-day trial, no free plan. Otter still wins live captions: Basic is free at 300 minutes per month, Pro is $16.99 monthly / $8.33 annual with 1,200 in-app minutes and assigned takeaways.
tl;dv's public /pricing URL 404'd on 17 August 2026 and /app/pricing shipped no static table. I will not invent an $18 Pro cell.
Howie is a calendar secretary. Its own homepage prompt is "Review my Granola notes daily; schedule follow-up meetings I mentioned." Howie books the next meeting; it does not score the last one. Geekwire, 22 September 2025, reported $25/month standard and $95/month premium; the 17 August 2026 homepage still shows no public list price.
| Tool | What it actually is | Owner+date shape | Limit to say out loud |
|---|---|---|---|
| Fyxer | Inbox + calendar + a joining notetaker | Follow-up drafts | Not a standup queue; Professional dollars did not render as static HTML |
| Otter | Live transcript + takeaways | Assigned action items | 300 / 1,200 / unlimited minute ladders; bot-consent threads on HN since 2022 |
| tl;dv | Recording + clips + multi-meeting reports | Summary prose | No checkable public price table on 17 Aug 2026 |
| Howie | Email / SMS / iMessage scheduler | None | Live site: Start for free + Enterprise custom; no public list price |
Fyxer and Howie sit closer to best AI personal assistants than to a notetaker bake-off. Howie's real home is AI scheduling tools. They stay here because the Dub set named them, and because the SERP keeps filing a secretary under "meeting assistant."
Frequently Asked Questions
What is the best free AI meeting assistant in 2026?
Fathom Free is the recording floor: unlimited recordings and transcriptions at $0 on 17 August 2026, with AI action items on the matrix. Granola Basic is the botless floor: unlimited new notes, 30-day history. Fireflies Free is the task-object floor: action items at $0, then a 400-minute team storage wall. Pick the free row that matches the job, not the longest bullet list.
Is Granola better than Fireflies for standups?
Granola is better when a visible bot is forbidden or when you want labeled note lines without a new participant. Fireflies is better when LINEAR-1842 has to become a Task other people can query. Business Granola is $14. Pro Fireflies is $10 annual. The cheaper paid seat is Fireflies. The quieter capture is Granola.
Do I need a meeting bot in Zoom or Teams?
Only if you need the tool to record a call you are not in, or you want a named participant everyone can see. Granola and Krisp capture device audio and stay off the roster. Fathom's botless path is still a Mac beta. A bot is also a consent event. Otter's 2022 HN thread on unconsented joins is old and still the objection customers raise.
Is Howie an AI meeting assistant?
No. Howie is an AI calendar secretary that lives in email, SMS, and iMessage. It books times, protects focus blocks, and can read Granola notes to schedule the follow-up. It does not transcribe a standup and it cannot full-hit the owner+date gold set. Treat it as scheduling, not notes.
How is this different from the best AI dictation tools?
Dictation is one speaker into a document. Meeting assistants are four named speakers, overlapping talk, and tasks that need an owner. Krisp and Otter appear in both categories. Score them here on standup field shape, and score them there on single-speaker accuracy. The dictation ranking is best AI dictation tools.
